At The Synergy Research Institute,  we are thoughtful about the personal information we ask you to provide and the personal information that we collect about you through the operation of our services. We aim for full transparency on how we gather, use, and share your personal information.

Personal information collected

When using the redanalysis.org website and in particular when filling in our contact forms, subscribing to training courses and memberships, and requesting a quote, the following data is collected:

  • mail address,
  • telephone number,

The personal information collected through the redanalysis.org website is reserved exclusively for The Synergy Research Institute, for the purpose of responding to the services offered by the website.

The data are kept for a period of time appropriate to the purposes of the processing and in accordance with the legislation and regulations in force.

The Synergy Research Institute is authorized to carry out studies and statistical analyses on the use and typology of users of the synergyresearchinstitute.com site, subject to confirming the anonymity of the latter.

Access, correction or deletion of collected personal information

In accordance with the provisions of Law No. 48-17 of January 6, 1978 as amended, known as the “Data Protection Act”, the user has a right of access, rectification or deletion, and portability of information concerning him.

The user also has the right to limit and oppose the processing of these data.

To exercise these rights, the user sends to The Synergy Research Institute :

Payment

We accept payments through Stripe. We do not store any payment data.  When processing payments, we only send required data to payment gateways,such as the purchase total and billing information. Sending is secure and encrypted. Our main payment gateway is Stripe, which is GDPR compliant.

Newsletter & emails

If you have subscribed to our newsletter or if you are a member of our website (you can log in) or if you have purchased on our website, there is a good chance you will receive emails from us.

We will only send you emails which you have signed up to receive, or which pertain to the services we provided to you.

To send you emails, we use the name and email address you provide us. Our site also logs the IP address you used when you signed up for the service to prevent abuse of the system.

This website sends emails through Sendgrid, which is GDPR compliant. This service allows us to track opens and clicks on our emails. We use this information to improve the content of our newsletters.

No identifiable information is otherwise tracked outside this website except for the email address.

If you sign up for one of our email lists, we will only send you the kinds of information you have requested. We won’t share your name or email address with any outside parties.

Students and Online Courses

We only collects first name, last name, e-mail address, and mailing address. We also keep grade books and certificates for trainees.

Data collected from an order is used to process transactions, and enroll users into courses. Also data collected like name and email address is used to send out email notifications for purchases or course notifications.

Shop (notably online courses, memberships, etc)

We collect information about you during the checkout process on our store.

When you purchase from us, we’ll ask you to provide information including your name, billing address, email address, phone number, credit card/payment details and optional account information like username and password. We’ll use this information for purposes, such as, to:

  • Send you information about your account and order
  • Respond to your requests, including refunds and complaints
  • Process payments and prevent fraud
  • Set up your account for our store
  • Comply with any legal obligations we have, such as calculating taxes
  • Improve our store offerings
  • Send you marketing messages, if you choose to receive them

If you create an account, we will store your name, address, email and phone number, which will be used to populate the checkout for future orders.

We generally store information about you for as long as we need the information for the purposes for which we collect and use it, and we are not legally required to continue to keep it. For example, we will store order information for 10 years for tax and accounting purposes. This includes your name, email address and billing addresses.

We will also store comments or reviews, if you choose to leave them.

For the purposes of processing recurring subscription payments, we store the customer’s name, billing address, email address, phone number.  Credit card/payment details are not stored with us but managed by Stripe payment gateway.

Who on our team has access

Members of our team have access to the information you provide us. For example, both Administrators and Shop Managers can access:

  • Order information like what was purchased, when it was purchased and where it should be sent, and
  • Customer information like your name, email address, and billing and shipping information.

Our team members have access to this information to help fulfill orders, process refunds and support you.

What we share with others

We only share information with payment gateways (see above) and analytics (see below).

Memberships

We only collects first name, last name, e-mail address, and mailing address.

Data collected from an order is used to process transactions, and allow users to use the website, as well as benefit from potential discount and other members advantages. Also data collected like name and email address is used to send out email notifications for purchases or memberships and subscriptions notifications.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Akismet we use to avoid spams typically collects information including the commenter’s IP address, user agent, referrer, and Site URL (along with other information directly provided by the commenter such as their name, username, email address, and the comment itself).

Media

If you upload images to the website, for example through comments, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact form and sending us emails

Contact form

When you submit a contact form, we collect the information you share with us: name, email, organisation, website, subject line and text. We keep contact form submissions for customer service purposes, but we do not use the information submitted for marketing purposes.

The contact form submission data — IP address, user agent, name, email address, website, and message — is submitted to the Akismet service (also owned by Automattic) for the sole purpose of spam checking. The actual submission data is stored in our database  is emailed directly to our staff for answer. This email will include the submitter’s IP address, timestamp, name, email address, website, and message.

Data Synced: The IP address and user agent originally submitted with the comment are synced, as well, as they are stored in post meta.

Sending us an Email

You also may decide to send us personally identifying information, for example, in an electronic mail message containing a question or comment. We use personally identifying information from email primarily to respond to your requests. We may forward your email to other authors belonging to The Synergy Research Institute or employees who are better able to answer you questions. We may also use your email to contact you in the future about our programs that may be of interest.

We want to be very clear: We will not obtain personally identifying information about you when you visit our site, unless you choose to provide such information to us. Providing such information is strictly voluntary.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

To keep track of cart data, we make use of 3 cookies: The first two cookies contain information about the cart as a whole and helps us to know when the cart data changes. The final cookie contains a unique code for each customer so that it knows where to find the cart data in the database for each customer. No personal information is stored within these cookies. These cookies expire within 48 hours.

Thus, for purchasing purposes, while you visit our site, we’ll track:

  • Products you’ve viewed: we’ll use this to, for example, show you products you’ve recently viewed
  • Location, IP address and browser type: we’ll use this for purposes like estimating taxes.

We’ll also use cookies to keep track of cart contents while you’re browsing our site.

Finally to protect you and our website from malign activity, we use Wordfence, which also uses cookies. Wordfence currently sets three cookies:

1/ wfwaf-authcookie-(hash)

  • What it does: This cookie is used by the Wordfence firewall to perform a capability check of the current user before WordPress has been loaded.
  • Who gets this cookie: This is only set for users that are able to log into WordPress.
  • How this cookie helps: This cookie allows the Wordfence firewall to detect logged in users and allow them increased access. It also allows Wordfence to detect non-logged in users and restrict their access to secure areas. The cookie also lets the firewall know what level of access a visitor has to help the firewall make smart decisions about who to allow and who to block.

2/ wf_loginalerted_(hash)

  • What it does: This cookie is used to notify the Wordfence admin when an administrator logs in from a new device or location.
  • Who gets this cookie: This is only set for administrators.
  • How this cookie helps: This cookie helps site owners know whether there has been an admin login from a new device or location.

3/ wfCBLBypass

  • What it does: Wordfence offers a feature for a site visitor to bypass country blocking by accessing a hidden URL. This cookie helps track who should be allowed to bypass country blocking.
  • Who gets this cookie: When a hidden URL defined by the site admin is visited, this cookie is set to verify the user can access the site from a country restricted through country blocking. This will be set for anyone who knows the URL that allows bypass of standard country blocking. This cookie is not set for anyone who does not know the hidden URL to bypass country blocking.
  • How this cookie helps: This cookie gives site owners a way to allow certain users from blocked countries, even though their country has been blocked.

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

Google Analytics

Activity Tracked: This feature sends page view events (and potentially video play events) over to Google Analytics for consumption.

WordPress.com Stats

See  Automattic Privacy Policy.
Data Used: IP address, WordPress.com user ID (if logged in), WordPress.com username (if logged in), user agent, visiting URL, referring URL, timestamp of event, browser language, country code. Important: We do not have access to any of this information via this feature. For example, we can see that a specific post has 285 views, but we cannot see which specific users/accounts viewed that post. Stats logs — containing visitor IP addresses and WordPress.com usernames (if available) — are retained by Automattic for 28 days and are used for the sole purpose of powering this feature.

Activity Tracked: Post and page views, video plays (if videos are hosted by WordPress.com), outbound link clicks, referring URLs and search engine terms, and country. When this module is enabled, Jetpack also tracks performance on each page load that includes the Javascript file used for tracking stats. This is exclusively for aggregate performance tracking across Jetpack sites in order to make sure that our plugin and code is not causing performance issues. This includes the tracking of page load times and resource loading duration (image files, Javascript files, CSS files, etc.). The site owner has the ability to force this feature to honour DNT settings of visitors. By default, DNT is currently not honoured.

Who we share your data with

We do not share any personal data with anyone, apart from payment gateways such as Stripe, to process payment – See sub-section payment above.

Site data are accessible by WordFence our security provider, our host and analytics providers (see above).

Except as might be required by law, we do not share any information we receive with any outside parties.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Contact form entries are kept for six months, analytics records indefinitely and students and customer purchase records for ten years.

What rights you have over your data

Unsubscribe or Change Your Contact Information

Our site provides

  • Subscribers (newsletters and emails): the opportunity to opt-out of receiving communications from us through a special online form that can be accessed through the unsubscribe link on emails, or the possibility to update changes through the corresponding links received on emails to which they have subscribed. You may choose to receive only specific communications or none at all. You can thus prevent unwanted communication.
  • Users (members and trainees): the opportunity to update your account details (name, billing address, email address – through my account) and to cancel on-going subscriptions to memberships and the same capabilities as for subscribers

Knowledge and erasing data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes. You can do so by contacting us by email contact@synergyresearchinstitute.com and asking clearly in this email for the exported file and/or to erase any personal data we hold about you.

Where we send your data

Our data are hosted on a server in Amsterdam held by Stablehost. Assuming some of our data may need to be transferred outside the European Union – in the framework of the daily management of the site, then Stablehost is GDPR compliant.

We are also regularly backing up all our data, which may require them to be stored outside the European Union. This backup is ensured by Automattic, which is GDPR Compliant.

All visitors comments are checked by Akismet, which is also managed by Automattic and thus data are protected according to Automattic principles (see above).

How we protect your data

The website and users’ data are protected through an array of means. First of all we use the premium services of security plugin Wordfence. This means that our website is monitored and protected 24/7 and that despite protection if ever a breach were to happen we would get immediate support and cleansing service.

We also use encryption as well as anti-spam services such as Akismet, while our software are kept up to date to benefit from the latest safest versions.

We also enforce a strong password policy. We did not move to two factor authentication as this is complex to handle by some users and difficult technically in some areas.

What third parties we receive data from

We do not receive third parties data.

What automated decision making and/or profiling we do with user data

Aggregated data and customers data are only used to improve our website performance and to serve our users better. There is no automated decision making, except in the field of security with failed login attempts.

Children and Privacy

For children who visit our site, special rules apply. We do not request personal information about children, such as first and last name or street address and city. When children send email to us, their online contact information (email address) is not used to re-contact them and is not maintained in retrievable form.

Anti-Spam Policy

An electronic message is “spam” if (A) the recipient’s personal identity and context are irrelevant because the message is equally applicable to many other potential recipients; AND (B) the recipient has not verifiably granted deliberate, explicit, and still-revocable permission for it to be sent.

We are actively fighting spamming and supporting prohibition on spamming and unethical marketing activities. We are only sending emails to those who have specifically registered on our email list.

We do not

  • Manipulate identifiers, such as email headers, to disguise the origin of any content we send.
  • Relay emails from a third party’s mail servers without the permission of that third party.
  • Use “robots” or otherwise harvest other’s email addresses from anywhere for purposes of sending unsolicited or unauthorized material.
  • Upload, post, email, or transmit the same message, URL, or post multiple times.
  • Disrupt the normal flow of dialogue, or cause the screen to “scroll” faster than other users of the service are able to type, or otherwise acting in a manner that negatively affects other users’ ability to engage in real-time exchanges.
